Chinese Family Support Network Victoria respects the privacy, dignity and cultural needs of the families and community members we work with. We aim to follow the Australian Privacy Principles as good practice and will comply with the Privacy Act 1988 (Cth) and other privacy obligations where they apply to us.

Our public website currently does not include an online intake or program-application form. If new digital services are introduced, we will review this policy and provide any additional collection notice needed at the time.

Depending on how you engage with us, this may include:
- name, contact details and preferred language;
- the nature of an enquiry and the support or accessibility needs you tell us about;
- program registration, attendance, consent and emergency-contact details;
- volunteer, member, partner, donor or event information;
- feedback, correspondence, complaints and records of our response;
- photos, recordings or stories where appropriate consent has been obtained; and
- basic website data such as IP address, browser, device and server logs.

Some enquiries may involve sensitive information, such as health, disability, cultural background, family violence, mental health or child-safety concerns. We seek to collect this only when reasonably necessary for our work and with consent or another lawful basis.

We generally collect information directly from you by email, phone, in person, at events or programs, or through forms used for a specific activity. We may also receive information from a parent, guardian, authorised representative or referral partner where you have consented or the collection is otherwise authorised by law.

We may use information to:
- respond to enquiries and understand requested support;
- plan, deliver and evaluate community education, activities and programs;
- provide service navigation or make a referral with consent;
- manage volunteers, partnerships, memberships and organisational administration;
- send news or program updates where a person has asked to receive them;
- protect participants, respond to serious safety concerns and meet legal obligations; and
- maintain website security and improve the accessibility and quality of our services.

5. Children and people at increased risk5. 儿童及较易受风险影响的人士
We seek to minimise information collected about children and people at increased risk, involve a parent, guardian or authorised person where appropriate, obtain relevant consents and limit access to those who need the information for their role. We may disclose information without consent where required or permitted by law, including to respond to a serious threat, a child-safety concern or another legal reporting obligation.

Our hosting and security providers may process technical logs and use cookies that are necessary to operate and protect the website. We do not currently use advertising cookies or automated decision-making that significantly affects a person’s rights or interests.

When you use email, telephone, WeChat or a linked external website, that provider may collect information under its own privacy policy. Where required, we take reasonable steps before using providers that handle personal information.

We take reasonable administrative, technical and physical steps to protect information from misuse, interference, loss and unauthorised access, modification or disclosure. No online or storage system is completely secure. We keep information only for as long as it is reasonably needed for the purpose collected or to meet a legal or accountability requirement, after which we take reasonable steps to delete or de-identify it.

We may need to verify your identity and may refuse a request where the law permits or requires us to do so; if that occurs, we will explain the reason where lawful.
